What Does “Uncategorized Spend” Mean In The AP Hub?
If you see an invoice in the AP Hub coded as Uncategorized Spend, it means one thing: WickedFile cannot confidently determine where the money went. This is not necessarily an error — but it does require your attention.
What Triggers “Uncategorized Spend”?
WickedFile is built around an invoice-first AP workflow. The goal is not just to “match” invoices — it’s to code them to where the money is.
If something is Uncategorized Spend, it means:
The PO Number read on the invoice does not match a valid Repair Order Number with at least one approved job with a part (not just labor).
It represents process breakdown
In some cases, it could represent profit leakage
In short: The system sees money leaving — but cannot trace it to a final destination.
Uncategorized Spend is highlighted in red in the AP Hub because it represents uncertainty.

If you see scans coded as “Uncategorized Spend,” review the following items in the AP Hub to identify and resolve the issue:
Click into the invoice.
Review the PO number.
Confirm whether:
It ties to a different, valid RO
It is inventory
It is shop supplies
If the purchase is legitimate and properly understood, simply recode the invoice to its correct final state.
Remember: Coding is the final state — not matching.
Once you recode an invoice, it will remain under that code until manually changed again.
